Privacy Policy

Octo Industries LLC ("Octo Industries," "we," "us," or "our") operates the Captain's Quarters booking platform ("Captain's Quarters," the "Platform"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.

Captain's Quarters is a software platform that helps independent charter boat operators ("Operators") accept and manage bookings. When you book a trip through the Platform, you are booking with the Operator you selected; Captain's Quarters facilitates that booking and related communications on the Operator's behalf. We are not the charter provider.

1. Information we collect

Information you provide when booking or contacting us

  • Contact details: name, email address, and phone number.
  • Booking details: the Operator, vessel, date and time, party size, and any notes or special requests you submit.
  • Waiver and trip information you provide when signing an Operator's liability waiver, including, where applicable, the name of a minor guest and their guardian. Because waivers are signed electronically, this also includes electronic signature records: your signature image or typed name, the email address used, the date and time of signing, and the IP address the signature was submitted from. These are retained as evidence that the agreement was made.
  • Communications you send to us or to an Operator through the Platform.

Payment information

  • Card and bank payments are processed by our third-party payment processor. We do not collect or store full card numbers, CVV, or bank credentials on our servers. We may retain limited transaction records (for example, an approval code, the last four digits of a card, and a processor reference) for booking, dispute, and accounting purposes.

Information collected automatically

  • Technical and usage data such as IP address, device and browser type, and pages viewed, collected through standard web technologies to operate and secure the Platform.

Information from Operators

  • An Operator may provide information about a booking or guest in order to service a trip.

Information you provide through our website

  • If you contact us or request a demo or trial through a form on captainsquarters.io, we collect the details you submit, such as your name, business name, email address, phone number, and your message. We use this to respond to your inquiry and to evaluate whether the Platform is a fit for your business. Some of our website forms are hosted by a third-party form provider, which processes the submission on our behalf.

2. How we use information

We use the information to:

  • Create, confirm, and manage bookings, and process deposits and balances.
  • Send transactional messages related to your booking, including confirmations, reminders, waiver requests, verification codes, and schedule or weather updates, by SMS and email.
  • Provide customer support and respond to inquiries.
  • Operate, secure, maintain, and improve the Platform.
  • Comply with legal obligations and enforce our terms.

We do not sell your personal information, and we do not use it for third-party advertising.

3. SMS / text messaging

Program name: Captain's Quarters Booking Notifications.

By providing your mobile number and opting in during booking, you consent to receive booking and trip-related text messages from Captain's Quarters on behalf of the Operator you booked with. Captain's Quarters is the sender of record: the messages are sent from our number, under our registered messaging brand, and the opt-in you give is to us. The Operator is the reason for the message, not its sender. This is a transactional program only. We do not send marketing or promotional text messages. The message types are:

  • booking confirmations and changes;
  • appointment and balance-due reminders;
  • liability waiver signing links;
  • one-time verification codes used to confirm your identity;
  • trip status updates, including weather-related schedule changes.

Program terms:

  • Message frequency varies based on your booking activity.
  • Message and data rates may apply.
  • Opt out at any time by replying STOP. Reply HELP for help.
  • Consent to receive text messages is not a condition of booking; you can complete a booking without opting in.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. We do not sell, rent, or trade mobile numbers, opt-in data, or consent records, and we do not share them for anyone's marketing.

Two categories of recipient receive your mobile number, and only to carry out the booking you made. Vendors that transmit our messages act solely on our instructions and may not use the data for any purpose of their own. The Operator you booked with receives your contact details so they can service your trip.

4. How we share information

We share information only as needed to operate the Platform:

  • With the Operator you booked with, so they can service and fulfill your trip.
  • With service providers (subprocessors) who perform functions on our behalf. The categories are: SMS delivery, email delivery, payment processing, electronic signature (used to present and record the Operator's liability waiver), identity and login, and hosting and infrastructure. These providers are authorized to use the information only to provide services to us, and are not permitted to use it for their own marketing.
  • For legal reasons, when required by law or to protect rights, safety, and the integrity of the Platform.
  • In a business transfer, such as a merger or acquisition, subject to this Policy.

We do not sell personal information, and we do not share the mobile opt-in data described in Section 3 for anyone's marketing purposes.

5. Data retention

We retain personal information for as long as needed to provide the Platform, service bookings, meet legal, tax, and accounting obligations, and resolve disputes.

If you ask us to delete your information, we will do so except where we are required or permitted to keep it, for example an SMS consent record, a completed transaction record, or a signed waiver.

6. Security

We use reasonable technical and organizational measures to protect information, including encryption in transit and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your choices and rights

  • SMS: opt out at any time by replying STOP.
  • Access, correction, or deletion: you may request access to, correction of, or deletion of your personal information by contacting us at the email below. Depending on where you live, you may have additional rights under applicable law.
  • Email: you may unsubscribe from non-transactional emails using the link in the message.

8. Children's privacy

The Platform is intended for adults. We do not knowingly collect personal information directly from children under 13. Where a trip includes a minor guest, information about that minor (such as a name for a waiver) is provided by an adult guardian who signs on the minor's behalf. If you believe a child provided us personal information directly, contact us and we will take appropriate steps.

9. Third-party links and services

The Platform may link to or rely on third-party services (such as payment or mapping providers). Their use of your information is governed by their own privacy policies.

Cookies and tracking technologies

This Privacy Policy is published on our website at captainsquarters.io, which uses cookies and similar technologies. Strictly necessary cookies — needed to run the site, keep it secure, remember your display preferences, and record your cookie choices — are always active. Cookies used for analytics or marketing are off by default and load only if you opt in through our cookie banner; none are currently active. We honor the Global Privacy Control (GPC) browser signal as an opt-out of non-essential cookies. You can review or change your choices at any time through our Cookie Policy, which also lets you reopen your cookie preferences.

10. Changes to this Policy

We may update this Policy from time to time. We will post the updated version with a new effective date. Material changes will be communicated as required by law.
